1001 Optometry had a problem that might sound familiar to many healthcare businesses. Their optometrists were writing detailed clinical notes after every patient appointment, but these notes were trapped in shorthand medical terminology that patients couldn't understand.
The notes lived in Optomate, their ERP system, where they manage client records and products, written in the efficient but cryptic language that medical professionals use. Terms like "18 over 12" for vision measurements or abbreviated clinical observations that made perfect sense to an optometrist but would leave most patients confused.
The challenge was how to take that clinical data and transform it into something genuinely useful for patients, without creating hours of additional work. And critically, how do you do this in a way that maintains medical compliance, where accuracy isn't optional?
The Solution: Connecting Systems, Custom Apps, and AI
MindArc built a solution that integrates multiple systems into a workflow that balances efficiency and compliance.
Data retrieval from the ERP.
The process starts in Optomate, where optometrists log their client notes following appointments. Our middleware pulls these notes into a custom-built UI application (built on Polaris) via API. No manual data entry required.
AI translation layer.
Here's where it gets interesting. The middleware pushes the shorthand notes to ChatGPT 5.0, which acts as an intelligent translation layer. The AI takes those cryptic notes and converts them into customer-friendly language that patients can actually understand. When an optometrist writes "18 over 12," ChatGPT interprets this as vision grade measurements and translates it into plain English. We then use an API to update the notes with this longhand version.
Custom practitioner dashboard.
Optometrists log into the new dashboard app and see a list of their notes, automatically filtered to their unique ID. The interface is clean and purpose-built for their workflow, just the information they need, in the format they need it.
Validation and compliance.
But here's the critical part for healthcare compliance: practitioners maintain complete control. On the dashboard, optometrists can see their original shorthand notes side-by-side with the AI-generated version. They review the translation for accuracy and make any necessary edits to ensure everything meets clinical standards before it reaches a patient. This step is highly important due to the sensitivity of the information. We're not replacing professional judgment with automation. We're using AI to handle the time-consuming translation work while keeping qualified practitioners in control.
Automated communication via Dotdigital.
Once the optometrist approves the consultation summary, they send the notes directly to the client via the middleware. The system pushes the approved summary to Dotdigital (1001 Optometry’s CRM and email marketing platform) via API. Dotdigital then handles the email delivery to the client, complete with professional formatting and brand experience.
The entire process from shorthand notes in Optomate to a professional consultation summary in the patient's inbox happens in minutes instead of the 15-20 minutes it would take to manually write each summary.
The Real Impact
Practitioners spend less time on admin and more time actually seeing patients. What used to be an after-hours task now takes a couple of minutes of review time.
Patients receive clear, personalised consultation summaries within hours of their appointment. They get information they can understand and refer back to, which improves both patient education and long-term engagement.
Clinical accuracy is maintained through practitioner review before any communication goes out. There's a clear audit trail of who reviewed and approved each consultation summary.
